Overview

The LeanData Buying Group Journey FlowBuilder provides a visual interface for creating and managing routing logic that assigns Buying Group Journey records to the right sales representatives. When a Journey meets defined qualification thresholds, LeanData automatically assigns the records, allowing sales teams to effectively track and manage engaged buying team members.

The Journey FlowBuilder goes beyond basic assignment with powerful automation features, including round-robin distribution, scheduled routing jobs, and notifications—all designed to streamline Buying Group workflows.

The following guide will outline the FlowBuilder interface for Buying Group Journeys. The functionality of specific nodes will mirror the functionality of these nodes in FlowBuilder for other objects. Please see the corresponding node guides in the Orchestration > Routing section of the LeanData Help Center.

Please note: if you would like to use FlowBuilder to route and automate actions on Journey Members (as opposed to the entire Journey record), Please see the Considerations for Routing Journey Members section below.

 

General FlowBuilder Actions

To access Buying Group Journey FlowBuilder, from the LeanData App, navigate to Buying Groups > Journeys > FlowBuilder

Adding & Editing Graphs

To create a new FlowBuilder graph, click the Create Graph button on the main FlowBuilder page.

You can edit an existing graph by hovering over its tile and clicking the Edit button that appears on the tile.

Please Note: The Graph Editor opens graphs in a new browser tab to provide a full-screen view.

Graph Locking

When you open a graph for editing, it becomes locked to prevent simultaneous edits by multiple users. If there is no activity for 2 hours, the lock automatically releases, allowing others with access to edit the graph.

 

Deploying a Graph

To deploy a graph, hover over the graph you want to deploy and click the launch icon.

A Deployment Confirmation window will appear. Click Confirm to deploy the graph. If you currently have a different graph deployed, it will automatically be deactivated.

Please Note: Only valid graphs (those without errors) are eligible for deployment.

 

General Node Actions

Within a graph, you can create routing logic by adding nodes that perform matching functions, evaluate decision criteria, and execute specific actions.

 

Qualified Journey Entry Node

When you create a new Journey FlowBuilder Graph, it includes a single Qualified Journey Entry Node that you cannot delete.

Unlike other FlowBuilder objects, Qualified Buying Group Journeys have only one Entry or Trigger Node. When a Buying Group Journey record meets your triggering criteria as configured in the Journey Routing Trigger section of your Journey Segment Settings, it begins routing through your deployed Journey FlowBuilder graph via the Qualified Journey Entry Node.

Once a Journey routes through the graph, LeanData won't re-route it—even if it falls below the routing threshold and later re-qualifies.

Journey Routing Triggers can be configured in Buying Groups > Segments and after selecting a Segment, Journeys tab > Journey Routing Trigger. For more information please see the Buying Group Edition Settings Guide.

 

Adding Nodes

To add a node in a graph, use the node bar in the top right corner. Either click directly on your desired node or drag it into the main area.

Deleting Nodes

To delete a node, click once on the node you want to delete, then click the trash can icon.

There are also multiple ways to delete nodes using the menu bar at the top of the page. Select the node(s) you want to delete, then either click the Trash icon or choose Delete from the Edit menu. You can also simply press the DELETE key on your keyboard.

Editing Nodes

To edit a node, either single-click the node and select the Pencil icon, or double-click the node directly to edit its conditions.

Copying Nodes

There are two ways to copy nodes. For use within the current graph, simply click the node you want to copy and select the Copy icon. This creates a duplicate of the node, including all its conditions.

Alternatively, you can use the menu bar icons at the top of the page, access options in the Edit menu, or use keyboard shortcuts (Copy: CTRL/CMD+C, Paste: CTRL/CMD+V) to duplicate nodes.

You can also copy nodes between different graphs. Simply select the node you want to copy, choose Copy from the Edit Menu, open your target graph, and select Paste from the Edit Menu to insert the copied node.

 

Connecting Nodes

You can Connect nodes in one of several ways:

Open a node and select the Target from the dropdown menu next to your desired condition or outcome. You can search your list to find specific targets quickly. To end processing at your selected node, choose End of Flow.

You can also click the Stop Sign icon to set an edge to End of Flow, or click the crosshairs icon to visually assign the edge in the main flowchart view by selecting your target node.

The other way to connect nodes is visually from the main flowchart view, you can click and drag the yellow triangle from one node's edge to connect it directly to your target node.

Errors and Validation

When you open a graph, LeanData validates it automatically. If validation errors are found, any nodes with issues will be outlined in red.

Click the red triangle in the upper left corner of the Graph Editor to view a pop-up window listing all validation issues that need to be resolved before graph deployment.

If you make changes to a graph and want to check for errors, you can validate your graph by going to the File Menu > Validate Graph. Any nodes with new errors will be outlined in red.

Node Colors

You can color-code nodes to organize your Routing graph and easily distinguish different sections or functions. The node color is purely visual and doesn't affect its functionality.

To set colors for new nodes, simply select a color from the palette at the top of the page.

New nodes will have the selected color until you choose a different one from the palette. Copied nodes retain the color of the original node.

To change the color of existing nodes, select the node(s) you want to modify, then choose a new color from the palette. The selected nodes will update to reflect your choice.

Clicking on Add Color will reveal additional color options.

Multi-Node Actions & Shortcuts

To select multiple specific nodes, hold Cmd (Mac) or Ctrl (PC) while clicking each desired node.

You can also select multiple nodes at once by holding the Shift key and dragging your cursor to create a selection box. Any nodes within this box will be selected.

With multiple nodes selected, you can use keyboard shortcuts—Copy (Cmd/Ctrl+C), Paste (Cmd/Ctrl+V), or Delete (Delete key)—or the menu buttons at the top of the screen to perform actions on all selected nodes.

Graph Organizer

Using colors, you can collapse and expand sections of your graph to reduce visual complexity. This makes it easier to focus on specific portions of the graph and view different sections at once.

Note: You can only collapse ALL nodes of the same color at once—you cannot collapse a selection of differently colored nodes.

To collapse nodes of the same color, right-click any node of that color.

A menu will appear with two options: collapse nodes of the selected color, or select all remaining nodes in your graph that share the same color.

When you click Collapse, nodes of that color combine into a single node group icon matching their color. You can freely move this collapsed group around the canvas while preserving the original locations of all nodes.

Please note: Entry Nodes cannot be collapsed, regardless of their color. If an Entry Node shares a color with nodes you want to collapse, you'll need to change the Entry Node's color first.

Node Group Location

The node group appears at the midpoint of all collapsed nodes. If the group's location seems unexpected, expand it to check for outlier nodes sharing the same color. All nodes of the selected color will collapse into the group, even if they're not connected. This can create unexpected visual connections in the consolidated view. Consider this when assigning colors and using the graph organizer.

Please note: Graph Organizer is purely a visual organization tool. It doesn't affect how your graph functions. You can always restore nodes to their original positions by expanding the collapsed group.

Edges for Node Groups

When nodes are collapsed, all edges connecting to and from the group are simplified visually. Edges from outside nodes into the group combine into a single line. Similarly, edges from nodes inside the group to outside nodes merge into one line. This same principle applies to connections between different collapsed groups. None of these visual changes affect the underlying edge functionality.

To expand a collapsed group, right-click it to reveal a menu with an Expand option. This will return all nodes to their original positions on the FlowBuilder canvas.

When a collapsed node contains an error, the entire collapsed group will be outlined in red as a warning indicator.

If you create a new node that matches a collapsed group's color, you can initially place and configure it separately on the graph. However, when you save or validate the graph, this new node will automatically join the existing collapsed group of the same color.

Please note: Routing Insights will only display the fully expanded version of the graph.

 

Comments

FlowBuilder Comments lets you add notes, comments, and questions to your Router Graphs. You can attach comments to specific nodes or place them anywhere on the Graph.

Adding Comments

To add a comment, drag the comment node from the bottom of the Node Selector onto the canvas. The comment window will automatically open when you release the node, allowing you to add your comments.

Enter your comments in the text box. To tag specific nodes, use the Tag Nodes dropdown menu to select them. Click Done when finished.

To comment on multiple nodes at once, hold SHIFT to select the nodes, then drag a new comment from the toolbar.

The comment node shows the number of tagged nodes.

Editing Comments

To edit a comment, double-click its node to open the edit window and make your changes.

Searching Comments

Access all comments using the Comment button in the top left corner of the graph editor.

When you click the Comment button, a window opens showing all comments in the graph. Selecting a comment highlights it on the graph, along with any tagged nodes.

Double-click on a comment to open it for editing. To find specific comments, type your search terms in the Search Field. The list will filter to show only comments containing those terms.

Deleting Comments

To delete a comment, select its Comment Node and click the Trash icon on the toolbar.

Double-click on the comment to open it for editing. To search through your comments, enter the search text in the Search Field. The list of comments will show only comments with the search text.

Routing Preview

To test graph changes without deploying them or modifying actual records, you can use the Routing Preview functionality. This allows you to see how a record would flow through your graph if triggered. For more information, please see the Routing Preview Guide.

 

Routing Scheduler

In addition to routing based on qualification criteria, you can use the Routing Scheduler tool to schedule one-time or recurring routing jobs for Buying Group Journey records using either a CSV upload or SOQL query.

To use Routing Scheduler, navigate to Routing > Routing Scheduler in the LeanData App and select a Journey FlowBuilder graph in the Scheduler interface.

Troubleshooting Tools

Audit Logs

Audit Logs help you troubleshoot Buying Group Journey Routing. To access them, go to Buying Groups > Journeys > Audit Logs.

Routing Insights & Deployment History

LeanData captures all your Buying Group Journey FlowBuilder deployments and displays metrics directly on the visual FlowBuilder graph, helping you analyze and troubleshoot routing patterns. To access these features, navigate to Buying Groups > Journeys > Routing Insights & Deployment History.

Considerations for Routing Journey Members

If you want to use FlowBuilder to route and automate actions on Journey Members (rather than the entire Journey record), please contact your LeanData Rep to enable Any Object Routing for the Journey Member Object. This capability allows you to automate actions on Journey Members, as well as support additional functionality such as sending notifications and enforcing SLAs on identifying and confirming Buying Group members.

Special Any Object Routing Accommodations  

When using Any object Routing with the Journey Member Object, there will be a few special accommodations to ensure any automations you build in the Journey Member Object graph are compatible with standard Journey Tracker operations.

Unsupported Nodes

The following nodes are not supported when using Any Object Routing with the Journey Member Object:

  • Match → Object to Account Match Node
  • Decision → True/False → Object to Account
  • Decision → Branch → Object to Account

Field Limitations

When using the Update Record node or NotifyPlus node in a Journey Member Any Object Routing Graph, you will only be able to update the Status field.

Furthermore, you will only be able to update this field to the following restricted set of values:

  • Removed
  • Confirmed
  • Potential (i.e. “Invalid”)

Updates made to the Status field using this graph will trigger all processes that would typically run when making these same changes directly through the Journey Tracker Interface.

Preloaded Variables

The following variables will be pre-loaded into the graph to ensure that using an Any Object Routing Graph for Journey Members provides easy access to commonly used Fields and Objects.

  • Latest Signal (Campaign Member)
    • Will be null if Latest Signal is an Activity
  • Latest Signal (Activity)
    • Will be null if Latest Signal is a Campaign Member

Other Considerations

  • Any Journey Members with an Invalid status from will be filtered from routing.
  • Routing Insights, Audit Logs, and Advanced Setting should all be supported with behavior consistent with Any Object Routing
  • A Journey Member Object graph will be selectable in Routing Scheduler
