Overview 

With LeanData BookIt’s Zoom Integration you can: 

  • Automatically generate unique Zoom links each time a meeting is booked with a rep. 
  • Reduce any manual labor required for updating scheduling links when a meeting is canceled or rescheduled.
  • Access all your meetings directly from your Zoom Dashboard. 

 

Pre-Approve LeanData BookIt in the Zoom Marketplace

Your Zoom account administrator may need to pre-approve LeanData BookIt in the Zoom Marketplace permissions to connect BookIt. Sign in to the Zoom App Marketplace as an admin or owner.

  1. Search for the LeanData BookIt app and click on the icon to select it.
  2. In the App permissions section, click the toggle to enable Approve use of this app.
    1. By default, All users on this account are selected to pre-approve all users in the account.
    2. (Optional) If you would rather pre-approve the app for certain users or groups, you can select Specific users or user groups on this account.
      1. Click Add users, then select Add an individual user or Add a user group.
      2. Type the email of the user or the name of the group then, click Add.

Once your admin pre-approves the app, all users will be required to individually connect their Zoom accounts. 

 

How to Connect Your Zoom Account from LeanData

Each User will need to individually connect their Zoom account with LeanData BookIt. 

  1. Navigate to People > Users and select your User Name. 
  2. On the Video Conferencing tab, click Connect on the Zoom Integration tile to sign in. You should be redirected to Zoom to sign.

  1. Sign in to connect your Zoom Account. 

Once you have connected your Zoom account, set Zoom as your default conferencing tool by clicking the Set as Default button on the Zoom tile. By doing this, each time a meeting is booked with you, BookIt will automatically generate a unique Zoom link and add this link to your events and confirmation emails.

 

How to Add Your Zoom Account From The Marketplace 

If you would like to download the LeanData BookIt app directly from the Zoom Marketplace, you can do so by: 

  1. Visit https://marketplace.zoom.us/ 
  2. Search for ‘LeanData BookIt’ and click on it. 
  3. Click Add. You should be redirected to your Salesforce login page. 
  4. Login with your Salesforce account to add the app. 
  5. Once you are logged in, search for LeanData. 
  6. Navigate to People > Users and select your User Name. 
  7. On the Video Conferencing tab, click Connect on the Zoom Integration tile to sign in. You should be redirected to Zoom to sign.

  1. Sign in to connect your Zoom Account. 

Once you have connected your Zoom account, set Zoom as your default conferencing tool by clicking the Set as Default button on the Zoom tile. By doing this, each time a meeting is booked with you, BookIt will automatically generate a unique Zoom link and add this link to your events and confirmation emails. 

 

Once You’ve Connected To Zoom 

The LeanData BookIt app will use the following Zoom scopes for this integration: 

View and manage your meetings /meeting:write

  • This scope will be used to read Zoom's meeting and dial-in information to create unique Zoom meeting links when someone books a meeting for you. 

View your user information /user:read

  • This scope is needed to read the user ID so we can support Deauthorizing Zoom account from LeanData BookIt. 

After connecting to Zoom, set Zoom as your Default Conferencing tool. No other set-up is required from your end. 

With LeanData’s scheduling automation software, BookIt for Forms,  whenever a prospect fills out a webform, we will automatically route to the appropriate rep and add a unique Zoom link to the confirmation email and calendar event once the meeting is booked. 

For BookIt Handoff customers, when a meeting is scheduled with a rep, we will add the unique Zoom link to the confirmation email and calendar event. 

For BookIt Links customers, when a guest books time using a scheduling link, we will add the unique Zoom link to the confirmation email and calendar event and make the main host on that link, the main host for Zoom. 

Please note, if you are connected to Zoom but Zoom is not set as your Default Conferencing tool, BookIt will respect your default conferencing tool and use that to add links to your events and confirmation emails.

 

How to Deauthorize Your Zoom Account 

If you want to disconnect your Zoom Account: 

  1. Navigate to People > Users and select your User Name. 
  2. On the Video Conferencing tab, click Disconnect on the Zoom Integration tile. 

  1. Your account will automatically be disconnected and a different conferencing tool will be auto-selected as a default. (Note: Once your Zoom account is disconnected, BookIt will no longer store or have access to your credentials. In order to use the Zoom integration after disconnecting, you will need to re-authorize your Zoom account.) 

 

How to Remove the BookIt App From the Zoom Marketplace

Follow the steps below to remove the BookIt App from your Zoom account: 

  1. Login to your Zoom Account and navigate to the Zoom App Marketplace.
  2. Click Manage > Added Apps or search for the LeanData BookIt app.
  3. Click the LeanData BookIt app.
  4. Click Remove.
