Overview
You can book meetings faster by sending a BookIt Invite. BookIt Invite allows you to curate and embed your preferred meeting times directly within your emails, Outreach Sequences, and Slack messages, allowing your invitees to seamlessly schedule a meeting at the perfect time.
BookIt Invites can be created directly in LeanData BookIt or via a Chrome Extension that provides the fastest way to schedule meetings as you work.
Use Cases
- Send Times For a 1-1 Meeting: Guide invitees to book a time that works best for your schedule. Select your preferred time slots and easily embed them in your email for the most seamless scheduling experience.
- Send Times for a Group Meeting: Make group scheduling a breeze. Easily view and propose shared time slots across your team members (e.g. SDR and AE) within an email, eliminating any need for manual coordination or back-and-forth.
Setup - Authorizing Users
In order to use BookIt Invite, you must first be authorized for BookIt Links and ensure your calendar is connected. Please reach out to the LeanData Admin in your organizations and have them follow the Authorization Instructions in the BookIt Implementation Guide. If you are already authorized for other BookIt Links, you may skip this step.
Creating a BookIt Invite
In order to create a BookIt Invite for your specified time, from within LeanData, navigate to BookIt > BookIt Invite > Click on the Create BookIt Invite button.
You will be taken to a page where you can configure your meeting parameters, including selecting your Main Host, additional required or optional Hosts, Meeting Type, and a time slot from the visual calendar.
Adding Host(s)
By default, the current User will be selected as the Main Host and will be the Owner of the Meeting. If you are only sending an invite to meet with yourself, you can move on to selecting a Meeting Type.
If you would like to add additional Host(s), you can search for Users and click the Add button by each User you would like to add as a Host. Each additional Host will be designated as a Required Host by default, indicated by a darkened icon next to their User. The calendar availability displayed will adjust to reflect the availability of all Required Hosts.
You can designate someone as an Optional Host by deselecting the Person icon by their User, which will adjust the displayed time frame in the calendar.
You can also add Hosts by selecting them from their BookIt Round Robin Pool, by selecting BookIt Round Robin Pool in the dropdown under Add Hosts.
Select a Meeting Type
In order to create an Invite, you will need to specify the Meeting Type you would like to use. You can use Meeting Types created by an Admin, unlocked Personal Meeting Types created by other Users, or you can create your own Meeting Type.
Under Meeting Type Owner, select the User whose Meeting Types you would like to use, or select Admin Managed to see the available Admin Managed Meeting Types.
Then select the specific Meeting Type you would like to use.

Select Preferred Time Slots
The calendar to the right will display the calendar availability for all of your Required Hosts. Select your preferred time slots for the meeting. The meeting duration will reflect the Meeting Type you selected in the previous step.
You can select more than one preferred time slot to give your invitee more options. As you select time slots, your selected time slots will be listed in the Meeting Times section at the bottom.
When you are finished selecting your preferred times, click Next at the bottom.
Finalize Meeting Details
You will be taken to a page where you can finalize your meeting details.
On this page you can customize:
- Meeting Name: This will be the name of the meeting / calendar event
- Timezone: Your invite will display times in the chosen Timezone.
- Display Link to View Full Calendar: If enabled, this will display a link where an invitee can see full calendar availability if none of your preferred times work.
- Additional Notifications: You can specify who should receive notification when meetings are booked with this link.
On the right side, you will see a preview of how your invite will look in the email you send.
When you are done, click the Generate button in the bottom right.
You will be taken to a page with your invite details and a button to copy the invite you just created. After copying the invite, you can paste it into an email, Slack message, sales engagement sequence or however else you would like to send it to your invitees.
Google Chrome Extension
If you would like to create a BookIt invite directly from the Chrome browser, you can install the BookIt Chrome Extension.
