Orchestration Overview
The following guide will outline how to get Orchestration up and running in your instance. You will be provided with everything you need to understand LeanData and create graphs that work quickly.
Before You Begin
LeanData is a large, robust product, so getting familiar with the tool can set you up for success. Prior to meeting with your LeanData Onboarding Specialist, here are a few tasks to review and finalize.
- Watch the LeanData Matching and Routing Basics video to familiarize yourself with LeanData Basics.
- Attend or watch the Getting Started Webinar.
- Please follow the Managed App Install Guide to install LeanData.
- Grant API Access to LeanData, configure LeanData Tab visibility, and assign LeanData Permission Sets. Guidance on these three items can be found in the LeanData Admin Guide.
- Save time and minimize mistakes when building new graphs in FlowBuilder by utilizing our Routing Templates Library
If the above tasks are not completed prior to meeting with your LeanData Onboarding Specialist, your timeline may be set back.
The Kick Off Call
On the kickoff call with your Onboarding Specialist, you’ll review your LeanData team, the project timeline, and the expectations. Some customers take up to 4 weeks to implement depending on how many stakeholders are involved, while others have launched into production in a single day. Your Onboarding Specialist will be your resource to get answers, create ideas, and effective project management and be sure to help you define a timeline that works for you. You will be choosing your Go Live date on this call, as well. It is important to choose this date prior to project closure, otherwise the timeline will need to be moved.
Recurring Calls with Your Onboarding Specialist
Included with your project are 4 hours to utilize your Onboarding Specialist. These hours must be used prior to the end date listed on your order form, but can be utilized for any phase of onboarding.
On these calls, we can review the progress you have made creating your graph(s), and address any implementation questions you may have. Your Onboarding Specialist will also review the remaining tasks with you and set expectations for the next time you meet.
Build Phase: Getting Started with Your Graph
The LeanData team has worked hard to create plug and play templates for a variety of use cases that reduce the amount of time required to get up and running. There are a few templates included right in the LeanData flowbuilder.
You can also find several more templates in our Routing Templates Library.
After you’ve opened your first template or followed the instructions to upload a graph, you can start making customizations that meet your needs. It is heavily recommended that you review the Routing Node Guide, Round Robins, Territory Management, and Data Table Routing.
NOTE: Territory Management and Data Table Routing are effective but complex routing tools. It is recommended that you reach out to your Onboarding Specialist to review these tools at length.
Creating and finalizing your graph is the sole focus of this step. You can create a graph from scratch , however our recommendation is to start from a template which allows you to work with LeanData’s best practices directly. For an in-depth review of the nodes, review the Router Node Documentation.
As you build out your graph, prepare the following:
- Examine what would trigger a record to be routed or re-routed. These can include net-new leads or values on the record which change.
- Collect the reps who will receive records and determine how they are distributed. This includes location break downs, segment specifics, or original source.
- Identify how you would like to notify the appropriate parties of these assignments or changes.
- Include or develop SLAs, as needed.
NOTE: If you are also implementing BookIt, you will want to consider how BookIt interacts with your Lead or Contact router. Talk with your onboarding specialist about how to maximize both products.
Test Phase: Review Progress and Intro to Testing
Once your graph is built, it is time to review. Your Onboarding Specialist may make recommendations or ask for clarifications to help ensure your graph is optimized for your use case. During this phase, it is encouraged to ask any questions or clarify any processes you have with your Onboarding Specialist. Your graph should be no less than 90% complete at the end of this meeting, and your onboarding specialist will review testing expectations with you.
When testing your graph, be sure to review Audit Logs and Routing Job results to verify that the graphs are meeting your expectations. As needed, your Onboarding Specialist will run more tests real time.
Methods to test your graph fall under two major ideas: use your current SFDC database, or curate test leads that are crafted to hit specific nodes in your workflow. More information is provided in Testing Your Flow Before Production Deployment.
Launch Phase: Create Launch Plan
Once you are satisfied with your testing, your Onboarding Specialist will work with you to prepare for your launch. Your onboarding specialist will be available to you to assist in monitoring your production results to assist in making changes as necessary.
Review Phase: Final Review and Project Closure
Once you are live with LeanData, your Onboarding Specialist will prepare a Wrap-Up Deck and introduce you to your post-implementation support team. On this call, you will review any production results and create a final To-Do list prior to hand off.
