Overview

The Schedule Meeting with Territory Node gives you the ability to assign a routed Prospect record to a meeting with the person that manages the territory the Prospect is in. The Territory node has options for picking the territory segment for the routed Prospects.

 

 

Example: Connie is the LeanData Admin for OnPoint Communications. She is currently building their BookIt Router Graph. The goal of the Graph is to get the Prospect to a rep for scheduling a demo. OnPoint wants to send the Prospect to a Territory Node to pick the correct Territory for the Prospect.

 

Customization

You have a number of options to configure the node.

  • Description
  • Schedule Meeting with
  • Additional Host(s)
  • Respect User Schedules
  • Meeting Type
  • Event Creation
  • Advanced Settings

Node Name

By default, the Node Name is set to Schedule Meeting with Territory Segment. You can change this label to anything you need. We strongly recommend giving this node a meaningful name such as the subject of the assignment. This will help others understand the purpose of the node. 

 

Description
This field is not required but we recommend adding a description to document any customizations made to the node. If someone else needs to take over the management of the graph, the description will help them to understand the goal of the customizations.

 

Schedule Meeting With

The Schedule Meeting With Territory Segment section has a Territory Segment picklist so that you can pick Territory Segment to route the Prospect to.

Additional Host(s)

The Additional Host(s) Section lets you add additional attendees from your Salesforce Organization to the scheduled Meeting to create a group meeting. You can add specific users in your organization or a select user from a routed record such as a Lead or Matched Account.

You can add multiple users to a scheduled meeting and mark each as Optional to respect their schedules.

 

Respect User Schedule

If you have vacations set up in LeanData in People > Users, you can optionally configure this node to respect the intended User's vacation. If you use this option, there will be an additional fallback edge under Advanced Settings for Out of User Schedule.

 

Meeting Type

The Meeting Type is a pull-down menu for you to pick the type of meeting being scheduled. This pull-down is synced to your Meeting Types.

Create Event

The Create Event settings will allow you to create a Salesforce event upon the meeting being booked successfully.

Related To

Use the Related To field to relate the Salesforce meeting to the Routed Record or a matched object like an Account.

Assigned To

Use the Assigned to setting to select the person in Salesforce that the Event will be assigned to. You can select Meeting Owner, Specific User or a User from a Variable.

Event Subject

Use the Event Subject to create a subject for the Salesforce Event. You can add text or use Insert to dynamically insert a variable into the event subject.

Additional Event Fields

You can use the Additional Event Fields to add information to an Event Field when the Event is created. You can select Value or Variable.

Value will add any text you enter into a text field. You will also see a list to pick from depending on the field. In our example below, we picked the Reminder field. As a result the Value field is a picklist of times to set for the reminder. If it were a text field you will see a blank text box to fill in.

Variable will give you the ability to copy information from a Variable on the Prospect and add it to one of the Salesforce Event fields.

Advanced Settings

The Advanced Settings section gives you fallback options for the routed Prospects and the ability to send the record to the next node of the flow as needed. 

  • Territory Not Assigned: This is a fallback condition in the event that a Territory is not assigned by the node. The reasons for this include the Prospect not matching to any of the defined Territory Segments.
  • Invalid/Inactive User: This is a fallback condition in the event that the intended user is not valid or active in Salesforce. It's best practice to set this to a fallback like a Send Notification to notify you of this issue.
  • Insufficient User Access: The Insufficient User Access edge will be followed if LeanData is unable to schedule with the selected User (e.g., User not properly authorized for Booklt and / or has no product access).
  • Invalid Group: This edge is used if the intended Round Robin Pool is invalid. This happens when the Round Robin Pool selected in the node does not exist.
  • Out of User Schedule : This edge is only available if you enabled the Respect User Schedule option earlier in the node properties. LeanData will follow this edge if the intended User is unavailable due to a vacation configured in LeanData > People > Users.
  • No Round Robin Members Available: This is a fallback condition in the event that there are no available Round Robin members available to be assigned the routed record. This can be caused by schedules, vacations or holiday sets. By default, this is set to End of Flow. For more information on User Schedules please see our Schedules, Capping, and People Guide:

  • Variable Not Found: This is a fallback condition in the event that the selected Additional Host from a variable is invalid at time of routing.

Working with Edges

You can Connect nodes in one of several ways:

  1. Open a node and select the Target through the dropdown next to the condition or outcome you wish to assign. Use the search functionality to narrow the scope of the results. If you want Lead processing to stop at your selected node, simply select End of Flow

Alternatively you can click the Stop Sign icon to set a particular edge to End of Flow, or click the crosshairs icon to assign that edge visually on the main flowchart graph view by clicking the node to which you would like that edge to proceed.

 

 

  1. If you are already in the main flowchart graph view, you can click on the yellow triangle and drag the edge you wish to direct to the next node to which you would like that edge to proceed.

Summary

The Schedule Meeting with Territory Segment Node gives LeanData’s BookIt App the tools to assign a routed Prospect to a representative based on the rep’s territory assignment. You can also automatically create a Salesforce Event when the Prospect is routed through this node.
