Overview
The Outreach Create Task Node is designed to create Outreach Tasks automatically as part of your Account Router flow. There are multiple options to configure how the Task should be created and assigned to an owner.
Example: Daniel is the LeanData admin for Lighthouse Development. He is using Account Router to automate their Account management. He wants to add an Outreach Task when the Account is routed to the new Account Owner.
Customization
You have a number of options to configure the node.
- Node Name
- Description
- Assign Task To
- Task Priority
- Due Date
- Task Note
- Advanced Settings
Node Name
By default, the Node Name is set to Create Task. You can change this label to anything you need. We strongly recommend giving this node a meaningful name such as the subject of the Task. This will help others understand the purpose of the node. For our example, we would call this node, Call Lead for our use case.
Description
This field is not required but we recommend adding a description to document any customizations made to the node. If someone else needs to take over the management of the flow, the description will help them to understand the goal of the customizations.
Assign Task To
The Assign To section includes options to select who the Task should be assigned to. You can select a Specific User or a User from a Variable field. Select Specific User to pick a user from a picklist of eligible users in Salesforce. Select User from Variable Field to pick a user from the routed Record or any user from a matched record.
Task Priority
The Task Priority field is a picklist with options to set the Priority of the created Task. Options on the drop-down are:
- Low
- Normal
- High
- Urgent
Urgent tasks can be used to benefit from additional, automatic, reminders in Outreach as a rep approaches a due date.
Due Date
The Due Date section gives you 2 options: None and Relative Date. The Relative Date option allows you to enter a number of days after the creation date of the Task.
Task Note
The Task Note is the message that will be displayed in the Outreach Task Note. In the message box you can create any note you need to add to the Task. You also have the ability to insert Variables from the Routed Record and Matched Records into the message body.. Additionally you can insert Relative Dates into the message.
This is where you can configure a meaningful message to your sales rep, based on the next best action you’d like them to take on this Account. For example, if the account is showing high intent via our 6sense integration, ensure the rep is set up to prioritize this account to action the buying signal as soon as possible.
Advanced Settings
The Advanced Settings section gives you fallback options for the routed records and the ability to send the record to the next node of the flow as needed.
- Missing User ID: This fallback condition will route the Record to a fallback node if the custom Outreach ID is missing on the User (the User for Task selection).
- Missing Account ID: This fallback condition will route the Record to a fallback node if the custom Account ID is missing on the Account (the Account for Task creation). for T
- Configuration Error: This fallback condition will route the Record to a fallback node if the authorization for Outreach is invalid.
- Next Node: This option allows the record to be directed to another node in the Router Flow, such as sending a notification. You can also set this node to End of Flow. This will stop all actions at this node instead of sending it to another node.
Working with Edges
You can Connect nodes in one of several ways:
- Open a node and select the Target through the dropdown next to the condition or outcome you wish to assign. Use the search functionality to narrow the scope of the results. If you want Lead processing to stop at your selected node, simply select End of Flow.
Alternatively you can click the Stop Sign icon to set a particular edge to End of Flow, or click the crosshairs icon to assign that edge visually on the main flowchart graph view by clicking the node to which you would like that edge to proceed.
- If you are already in the main flowchart graph view, you can click on the yellow triangle and drag the edge you wish to direct to the next node to which you would like that edge to proceed.
Summary
The Outreach Create Task Node will allow you create a Task and assign it automatically in Outreach as part of your Router flow.
