Overview
LeanData sends emails through Salesforce, using Salesforce's native API. Notifications from LeanData (such as those from FlowBuilder) are sent using the LeanData Integration User’s email address or another Salesforce organization-wide email address as set. If you notice any issues with email notification deliverability from LeanData, you can use this guide to troubleshoot.
Troubleshooting within LeanData
If you are encountering issues with email notifications, you can first use the following steps to troubleshoot in LeanData directly:
- Check the node with the expected email notification to ensure the user is one of the recipients. Make sure there are no invalid emails listed.
- Check within LeanData Audit log to ensure routing error is not generated upon routing the record.
Troubleshooting within Salesforce
To ensure Salesforce can send all necessary messages, confirm that the "All Email" setting is enabled under Deliverability, especially in sandbox environments where it may default to "System Email Only." If emails aren't being received, request an email log to check if messages were sent by the LeanData integration user at the expected time. You can also test deliverability by sending a test email from Setup to verify configuration and delivery.
"All Email"
Ensure that "All Email" in enabled under Deliverability in Salesforce Setup. The "All Email" setting in Salesforce allows your org to send all types of emails, including system notifications and user-triggered messages. It's especially important for integrations like LeanData, where workflow-related notifications rely on outbound email.
"All Email" is typically enabled by default. However, in sandboxes, it's often set to "System Email Only" to prevent test emails from reaching real users.

Email Logs
Requesting an email log within Salesforce to further troubleshoot can help identify whether emails were sent and where they may be getting blocked.
Within the Email log, check if any emails were sent out by the LeanData integration user to the expected email recipients at the time of record processing time.

Test Deliverability
Salesforce provides a way to test your email deliverability settings by sending a test email directly from Setup. This helps confirm whether your organization’s email configuration—such as sender verification, deliverability settings, and authentication protocols—is working correctly. By sending a test email to yourself or a colleague, you can verify that emails are properly sent and received.

Troubleshooting Emails Sent to Spam
If emails are reaching Users but landing in spam, setting up DKIM in Salesforce can help improve deliverability by authenticating messages through your domain’s DNS. This requires generating a DKIM key in Salesforce and adding a corresponding TXT record to your domain settings. To avoid potential conflicts, consider disabling bounce management and compliance settings under Email Deliverability.
DKIM Keys
If emails notifications are being received by the desired User's, but are being sent to spam folders, you can set up a DKIM (DomainKeys Identified Mail) key in Salesforce.
This involves generating a DKIM key in Salesforce Setup, then adding the provided DNS TXT record to your domain’s DNS settings. Once Salesforce verifies the DNS record, your emails are cryptographically signed, helping improve email authenticity and deliverability.

SPF and DKIM Alignment Fails
Additionally, to avoid conflicts, you can uncheck the Activate bounce management and Enable compliance with standard email security mechanisms settings in Email Deliverability to ensure DKIM works properly.
